Creating Comp Time Policies

Click on the "Admin" navigation tab, and then on the "Comp Time Policies" link located under the Policies section of the screen.

  1. To create a new policy, click on the [ADD] icon located under the Active Comp Time Policies section of the screen.
  2. Enter a Name for this policy as you would like it to appear in the program.
  3. Select the desired Base Pay Code from the drop-down menu.
  4. Select the Automatically Calculate Comp Time option if you would like the system to automatically update Comp Time totals with the closing of each pay period. With this option unselected, the employee will continue to receive overtime hours on their Time Card until the "Convert to Comp Time" link is manually selected.
  5. Put a check mark in the Cap Comp Time option if you would like to prevent employees from earning additional Comp Time hours once a certain number of unused hours is reached. With this option enabled, the Comp Time Cap field appears. Enter the maximum number of Comp Time hours that employees may earn.
  6. The Rollover Type field allows you to select how you would like Comp Time hours to rollover from one year to the next.

    • Select "Anniversary" if you would like hours to rollover on the anniversary of the employee's hire date.
    • Select "Specific Date" to manually enter the date on which Comp Time hours rollover. When using this option, select the Rollover Month and Rollover Day of Month as desired.

  7. The Allow Carryover option allows you to define whether or not you would like unused Comp Time hours to be carried over from one year to the next (based on the rollover settings specified above).
  8. When not allowing unused Comp Time hours to carry over, expired hours are paid out to the employee based on the assigned overtime policy. The Expiration Absence Policy allows you to determine the pay code that will be assigned to hours that are paid out on the employee's Time Card.
    Note: This field only appears when Allow Carry Over is not selected.
  9. If you would like to specify that carried over Comp Time hours will expire if not used within a certain time frame, put a check mark in the Expire Carry Over option. When using this option, select the desired Carry Over Period for expiration.
    Note: This field only appears if Allow Carry Over is enabled.
  10. Once you have finished specifying the above settings, click on the [SAVE] icon. The policy is added to the system, but before Comp Time will work you must still assign an overtime policy and specify the Comp Time multiplier.
  11. In the Overtime Pay Codes field, select the applicable Overtime Pay Code from the drop-down menu.
  12. Enter the Multiplier rate that the policy will use when generating Comp Time hours (as in "1" or "1.5" for time-and-a-half). This setting defines how much Comp Time is awarded to the employee for each hour of overtime.
  13. Click on the [ADD] button to assign the overtime policy.
  14. When  you have finished adding overtime policies, click on the [UPDATE] icon to save the changes that you have made.
