Creating an Hours Based Accrual Milestone

Click on the [ADD MILESTONE] icon located in the Milestones heading. The Accrual Milestones screen appears.

  1. In the Length of Service Time Frame field, enter the number of days, months, years, or hours that the employee has to be with the company before this milestone will take effect.
  2. Select "Hours Based" from the Type drop-down menu.
  3. The Process To field allows you to select whether you would like accrual hours to be processed up to "Last Completed Pay Period" or "Today."
    Note: When using "Last Completed Pay Period," the Process To Boundary option allows to you define whether employees are to be awarded with the accrual amount at the "Start" or "End" of the pay period.
  4. A qualifier allows you to specify that employees must work a set period before they qualify for the accrued hours. The Qualifier Type allows you to select whether you would like this qualifier to be based on "Months," "Years" or "Hours."
  5. Enter the Qualifier Amount. This is the number of months/years/hours that employees must work, based on the type specified above.
  6. The Unqualified Rate option allows you to define how you would like the system to handle hours that do not match the qualifier specified above. Choose "0" for no accrual, or "Previous Milestone Rate" to accrue based on the previous milestone (when applicable).
  7. In the Awarded Amount fields, enter the number of accrual hours to be awarded, and the number of hours that must be accumulated on the employee's Time Card.
    Note: For simplicity, it is recommended that you set this up as a small amount of benefit per "1" hour worked. This way, the rate of accrual per hour is clearly visible.
  8. Enter the number of hours after which this accrual amount will be awarded into the Award After X Hours field. This setting holds the number of accrued hours until the specified number of hours is reached. If you leave this setting at "0," the employee will be awarded fractional pieces of an hour. With a setting of "1" or greater, the system does not award fractional pieces, but waits until a full hour or greater is accrued.
  9. If you would like to cap the number of hours that can be accrued enter the maximum number of hours into the Max Available field.
  10. Select the Allow Rollover option if you would like unused accrued hours to be rolled over from one year to the next. If selected, specify an optional Max Carryover Amount.
  11. Some companies allow their employees to take more accrual time in a year then they have earned. Select the Allow Negative Rollover option if  you would like negative accrued hours totals to be rolled over from one year to the next. When not enabled, negative totals will revert to "0" on the rollover date. This option only appears when "Allow Rollover" is not selected.
  12. Select the Expire Carry Over option if you would like hours carried over from one year to the next to expire if not used within a certain time frame. Specify the time frame in the Carry Over Period field.
  13. The Accumulated Hours Pay Codes section allows you to select the Pay Codes on employee Time Cards that count toward the hours based accrual. By default all Pay Codes appear in the Included box. To exclude Pay Code, select the desired code in the Included box and click on the icon_assign.jpg icon. The selected codes are moved to the Excluded box.
  14. Click on the [CREATE] icon to save the milestone.

You are returned to the main Accrual Policy screen.

Assign as many milestones to this policy as desired. Each milestone is listed under the Milestones section of the screen. Click on the link in the Milestone column to edit policy settings. Click on the icon_delete.jpg icon to remove a milestone from the policy.
