Customized User Access Rights

The following is a list of each access right in the system and it's definition.

Main Category: Administration

Sub Category: Manage User Security and Roles

  • Manage User: This option defines whether users assigned to this role are to be allowed to create additional users in the TimeForce II system. When selected, assign the roles that the user will have access to.
  • Manage Roles: This option defines whether users assigned to this role are to be able to access to the "Roles" section of the system.

Sub Category: Manage Policies

  • Manage Administrative Policies: This option defines whether users assigned to this role are to have access to company policies such as Pay Periods, Holidays, Pay Codes, etc.

Sub Category: Manage Company

  • Company Edit: Select this option if you would like users assigned to this role to be able to access and edit company profile information (such as Company Name, Contact Info, etc.).
  • View Logs: Select this option to allow this role to be able to access the punch process logs created by the system.

Main Category: Clocks

Sub Category: Manage Clock Messages

The following options only apply when using a model of time clock that supports clock messages.

  • Manage Company Message: Select this option if you would like users assigned to this role to be able to upload Company Messages to the time clock.
  • Manage Department Message: Select this option if you would like users assigned to this role to be able to upload Department Messages to the time clock.
  • Manage Employee Message: Select this option if you would like users assigned to this role to be able to upload Employee Messages to the time clock.

Sub Category: Manage Clock Settings and Groups

  • Manage Clocks: This option defines whether users assigned to this role will have access to view and edit Time Clock Profiles in the system.

Sub Category: Net Clock

  • View Network Time Clock: This option defines whether users assigned to this role will have access to Net Clocks in the system.

Main Category: Employee

Sub Category: Manage Employee

  • Add Employee: Select this option if you would like users assigned to this role to be allowed to create new employee profiles in TimeForce.
  • Remove Employee: Select this option if you would like users assigned to this role to be allowed to delete employee profiles in TimeForce. "Self" and "Assigned" rights are specified independently.
  • Manage Employee Information: Select this option if you would like users assigned to this role to be able to edit and view employee profile information. "Self" and "Assigned" rights are specified independently, with "View Only" or "View and Edit" rights available for each.
  • Manage Error Monitoring: This option defines whether users assigned to this role are allowed to access the Error Monitoring section of the system. "Self" and "Assigned" rights are specified independently, with "View Only" or "View and Edit" rights available for each.
  • Inactive Employee View: Defines whether users assigned to this role can access employees specified as "Inactive" in the system.
  • Social Security Number: Select this option if you would like users assigned to this role to be able to view Social Security Numbers in the system. "Self" and "Assigned" rights are specified independently.

Sub Category: Manage Pay Policies

  • Manage Pay Policies: This option defines whether users assigned to this role can access the pay policies that employees are assigned to in the system. "Self" and "Assigned" rights are specified independently, with "View Only" and "View and Edit" options available for each.

Sub Category: Manage Position and Salary

  • Manage Position and Salary: This option defines whether users assigned to this role can access employee position and salary information in the system. "Self" and "Assigned" rights are specified independently, with "View Only" and "View and Edit" options available for each.

Sub Category: Manage Employee Accruals

  • Manage Employee Accruals: This option defines whether users assigned to this role can access employee accrual information in the system. "Self" and "Assigned" employee rights are specified independently.

Sub Category: Manage Employee Schedule

  • Manage Employee Schedule: The user has "View Only" access to his or her own schedule in the system, with "View and Edit" access to their assigned employees' schedules

Sub Category: Manage HR Info

  • Manage Incidents: The user is allowed access to "Incidents" in the HR section of the program.
  • Manage Reviews: The user is allowed access to "Reviews" in the HR section of the program.
  • Manage Training: The user is allowed access to "Training" in the HR section of the program.
  • Manage Property: The user is allowed access to "Property" in the HR section of the program.

Main Category: General

Sub Category: General

  • Pay Info View: The user can view his or her own pay information in the system, as well as the info of their assigned employees.
  • Show All Employees: The user is allowed to view all employees in the system (as opposed to being restricted to the employees that they are assigned to supervise).
  • Manage Mass Utilities: The user is allowed access to the Mass Punches, Hours, Absences, and Disbursements sections of the Time Card screen.
  • Manage Time Off Requests: The user is allowed access to employee Time Off Requests.
  • View Kiosk: This user is allowed access to the Kiosk Self Service interface.

Main Category: Close Pay Period

Sub Category: Close Pay Period

  • Close Pay Period: The user has the rights necessary to close a pay period in the system.
  • Unlock Closed Pay Period: The user has the rights necessary to unlock a pay period that has been previously closed.

Sub Category: Payroll Interface

  • Manage Export Templates: The user has the ability to create and manage the export templates in the system.
  • Manage Advanced Paycode Mappings: The user has the ability to manage Advanced Paycode Mappings in the system.

This section allows you to grant the necessary permissions for the user to access specific reports in the system, while restricting others. Put a check mark in the box for each of the following reports that you would like to give the user access to.

  • Manage Shifts: This permission allows the user to create and manage shifts in the system.

Sub Category: Manage Schedule

  • Manage Schedule: This permission allows the user to create and manage schedules in the system.
  • Manage Schedule Availability: This permission allows the user to manage employee Schedule Availabilities in the system.
  • Manage Shift Swap: This permission allows access to Shift Swaps in the system.

Sub Category: Schedule Employees

  • Schedule Employees: The user has access to create schedules for the employees in the system.

Main Category: Time Card

Sub Category: Work Area

  • Time Card View: The user has access to his or her own Time Card information, as well as the Time Cards of their assigned employees.
  • Enter Absence: The user is allowed to enter absences on the Time Cards of employees assigned to them in the system.
  • Enter Disbursement: The user is allowed to enter disbursements on the Time Cards of employees assigned to them in the system.
  • Enter Hours: The user is allowed to insert an hours total on the Time Cards of employees assigned to them in the system.
  • Enter Punch: The user is allowed to insert punches on the Time Cards of employees assigned to them in the system.
  • Allocate Hours: The user is allowed to allocate the hours of employees assigned to them in the system.
  • Punch Edit: The user is allowed to edit the punches on the Time Cards of employees assigned to them in the system.
  • Enter Punch Notes: The user can enter notes with a punch on his or her Time Card.
  • Enter Self Service Punch: This permission allows the user to enter Time Card punches from the Self Service section of the program.
  • Review Time Card Error: This permission allows the user access to the Time Card Error screen.
  • Excuse Time Card Error: This permission grants the user access to excuse Time Card errors.
  • Punch Delete: The user is allowed to delete punches from employee Time Cards.

Sub Category: Verification

This section allows you to define which levels of verification the user has access to. "Self" right and "Assigned" rights are specified separately. Put a check-mark in each of the following levels that you would like the user to have access to.

  • Verification Level 1
  • Verification Level 2
  • Verification Level 3
  • Verification Level 4
  • Verification Level 5
  • Edit Locked Pay Period: Enable this permission if you would like to grant the user the ability to edit a pay period that has been locked.
  • Department Verification: The user is allowed access to departmental verification in the system.

Main Category: Job Tracking

Sub Category: Manage Job Tracking

  • Manage Jobs: Enabling this permission allows the user to create and manage the Job Profiles in the system.
  • Manage Tasks: Enabling this permission allows the user to create and manage the Task Profiles in the system.
  • Manage Equipment: This permission allows the user access to manage the Equipment that is used in conjunction with jobs.
  • Manage Materials: This permission allows the user access to manage the Material that is used in conjunction with jobs.
  • Manage Customers: This permission allows the user to create and maintain the customers that are attached to Job Profiles in the system.
  • Manage Quantities: This permission allows to user to manage quantities in the system.
  • Manage Costing and Estimates: This permission allows the user to use the programs "Estimated vs. Actual" functionality by entering estimates and actual costs.

Sub Category: General Job Tracking

  • Job Settings: This permission allows the user access to the Job Settings section of the program.
  • Job Summary: This permission allows the user to view the Job Summary screen.
